The quote-to-order admin quietly eating your margin

The most expensive part of most small firms is not production, it is the re-keying between enquiry, quote, order and invoice. Automate in this order: capture the enquiry as structured data, generate the quote from it, confirm the order from the accepted quote, and push it to your accounts package. Each step removes a re-typing job and a source of error.

Find the re-keying

Count how many times a customer's details get typed between first contact and invoice. In most firms it is four or five. Every one of those is a chance to get a delivery address wrong.

Automate in this order

  1. Structured enquiry capture: a form built around your actual quoting variables, not a message box.
  2. Quote generation: the same data becomes a PDF or on-screen quote without retyping.
  3. Acceptance: the customer accepts online, which timestamps it and triggers the next step.
  4. Order confirmation and scheduling, visible to whoever runs the job.
  5. Handover to accounts, so the invoice is not built from memory.

What it is worth

Five hours a week of admin at any sensible internal rate pays for a tailor-made system within a year, and it keeps paying afterwards. The bigger gain is speed: quoting the same day is often the whole reason you win the job.
