Bespoke vs off-the-shelf software: how to choose
Choose off-the-shelf software when its normal workflow fits your business. Consider bespoke software when important rules, permissions or integrations remain awkward after configuration. Compare the cost of the whole working process, not just the subscription against the build price.

Start with a real task, not a feature list
Take one recent job from enquiry to completion. Record every place someone copied a value, waited for approval or corrected an error. Then ask a supplier to demonstrate that exact journey. A product with fewer features may work better if staff can finish the task without a workaround.
Separate essential differences from preferences. A different button colour is rarely a reason to build. Customer-specific approval rules that affect every order might be.
Compare the three realistic options

Count the costs people leave out
For a product, include user licences, higher plans needed for integrations, training and data export. For bespoke software, include discovery, testing, hosting, maintenance, security updates and changes after launch. For both, include staff time and the risk of disruption during the move.
Do not assume a one-off build means a one-off cost. Equally, do not assume a subscription is wasteful: paying for maintained software can be better value than owning a system nobody supports.
Run a short comparison trial
- Pick three representative tasks and one awkward exception.
- Try them with realistic but non-sensitive data.
- Record time, errors and steps that need another tool.
- Ask an everyday user to repeat the trial without supplier help.
- Check export, permissions and recovery before making the decision.
When a hybrid is better
A business might keep its accounting package while adding a custom portal for customer requests. This avoids rebuilding mature financial functionality and focuses the investment on a distinctive customer experience. Confirm that the existing package permits the connection you need.
Make the decision reversible
Write down why you chose the option, what would make you reconsider and how records can be exported. Ask for a demonstration of that exit route. A good choice is not simply the one with the most flexibility; it is the one your team can operate and afford to maintain.
