How long does custom software development take?
Custom software timescales depend on scope, uncertainty and how quickly the business can review working versions. A reliable schedule covers discovery, development, testing, migration and rollout. Ask for milestones with clear completion criteria rather than a single date based only on screen count.

Understand what the deadline includes
A supplier may call the code finished while you mean staff trained, data imported and customers using it. Define launch in operational terms. Does the date include moving old records, connecting live accounts and supporting the first transactions?
A fixed event date can be useful, but it should lead to a smaller scope if time is limited. It should not lead to skipping the tests that protect the business.
Plan milestones with evidence
| Milestone | Evidence it is complete |
|---|---|
| Discovery | Workflow, users, risks and first-release scope agreed |
| Prototype | Representative users can understand the main task |
| Working release | Core workflow and permission checks demonstrated |
| Acceptance testing | Agreed scenarios pass with realistic sample data |
| Migration rehearsal | Data checks and rollback process succeed |
| Operational launch | Named support owner and monitoring are in place |
What tends to slow the project down
Unclear business rules lead to rework. Missing access to existing systems blocks integrations. Dirty data delays migration. Feedback from several people without one decision maker creates conflicting changes. None of these can be fixed simply by asking the developer to type faster.
Prepare anonymised examples and account access through an agreed secure method. Reserve staff time for review before the project starts. Supplier time is only one part of the schedule.
Ask for a range and its assumptions
A credible estimate should identify what could change it. If an integration has not been tested, keep that uncertainty visible. Ask when the estimate will be revisited and which milestone gives enough evidence to narrow it.
Distinguish effort from calendar time. Two days of work can occupy longer if it depends on a third-party approval or feedback that arrives the following week.
Make progress visible
Use short demonstrations of completed tasks rather than percentage-complete reports. A manager should be able to see what works, what remains and which decision is needed next.
Protect the launch
Choose a rollout period when the people who know the process are available. Define a fallback and avoid introducing several unrelated business changes at the same time. A controlled launch with a limited group can reveal issues before they affect everyone.
